Collections

An Evidence Collection is a set of records you group together so you can review, analyze, and share them as one unit.

Using Collections

Each Collection on the Collections page shows the number of records, the number of funnels and their details, View to open the Collection, and Edit to change its name, description, and funnels.

Building a Static Collection

  1. Open any list of records: the Records page, a dashboard drill-down, a Collection's or Stakeholder's Records tab, or the Records sidebar from an Instant Insights response or medical insights report.
  2. Select the records you want.
  3. Click + Collection.
  4. Choose an existing Collection, or create a new one from the same panel.

Building a Dynamic Collection

A funnel is a saved set of filters. Create the funnel first, then attach it to a Collection.

  1. On the Records page, click Filters.
  2. Apply one or more filters. The Add Funnel to Dynamic Collection button appears.
  3. Click Add Funnel to Dynamic Collection.
  4. Enter a Funnel Name and a Funnel Description.
  5. Search for an existing Collection and click its name, or enter a name under Create a new Collection and click Create new Collection.

To attach a funnel to a Collection you already have:

  1. On the Collections page, click the ellipses (...) on the Collection, then click Edit.
  2. In the Funnels section, set the Funnel Operator to Any (records matching any selected funnel) or All (records matching every selected funnel).
  3. Select at least one funnel. Click to view filters in detail lists the filters inside a funnel.
  4. Click Save. The Collection is now a Dynamic Collection.

The header shows the Collection title, whether it is Private or Shared with the rest of the project, the Collection description, and the funnels if it is a Dynamic Collection. It also holds:

  • Copy Link to the Collection
  • The crystal ball icon (Instant Insights Engine™), which opens a sidebar where you can ask a question of this Collection only
  • The lightning bolt icon (Insight Generator), which writes a summary pinned to the top of the page. Click the expand icon to open the full summary in a sidebar, where you can copy it, regenerate it, and see when it was created.
  • The Collections menu (...), with Copy Link and Edit Collection

Reading Sentiment Trends: Dates come from the record date, not the upload date. Hover a bar to see the Positive, Negative, and Neutral counts for that month. Click a bar to open a sidebar of that month's records, including records with no sentiment, so the sidebar count can be higher than the bars suggest.

Working with Records in a Collection

On the Records tab:

  1. Use Search for free text, or click Show Filters to filter while still viewing the list.
  2. Select records, or click Select All.
  3. Choose an action:
    • Export to .xlsx or .csv
    • Add to a Collection or an Insight
    • Add or remove a Label
    • Remove from Collection

Sort the list by Record Date, Source, or Upload Date.

How to get better funnels

A funnel is only as good as the filters saved inside it, and it runs against every future ingest.

Instead of

Do this

A single broad filter (one therapeutic area)

Narrow with two or three filters (therapeutic area, region, source)

Setting All by default

Use All only when a record must match every funnel, since it returns far fewer records

Before you save, apply the filters on the Records page and check that the result set looks right. Give the funnel a description that says what it is for, since anyone editing the Collection sees it.

What to Expect

  • Funnels are not retroactive. Only newly ingested records are added, so add existing records manually.
  • Funnels never remove records. Records already in the Collection stay, even if they do not match, and removing a funnel does not remove the records it brought in.
  • If you remove a record from a Dynamic Collection, it is not added back, even if it matches a funnel.

Troubleshooting

Problem

What to do

No new records are arriving

Confirm the Collection has at least one funnel and check the funnel's filters under Click to view filters in detail

Too many irrelevant records

Add filters to the funnel, or switch the Funnel Operator from Any to All

Older matching records are missing

Filter for them on the Records page and add them to the Collection

A removed record has not come back

Records you remove stay out. Add it again manually.

Sentiment counts look higher in the sidebar than in the chart

The sidebar includes records with no sentiment for that month

A colleague cannot see your Collection

Check whether it is set to Private in the header
